Overview
CertSimple Real Estate Tax Certificates provides certified tax certificates, assessed and market values, tax rates, and HOA contact information.
This demonstrates how to set up and use the CertSimple tax certification integration.
Begin here: Contact CertSimple by email at info@certsimpleUSA.com or call at (713) 231-8192 for further information or to register for services. Inform CertSimple that the account will be for a Resware integration. Account information will be provided, including the username and password for the Resware to Resware setup.
Next: Follow the steps in this job aid. The account information provided by CertSimple will be needed to complete these steps.

Enable Office Option
Admin/General Setup/Offices
- Highlight the office using this integration and click Edit.
- Select the Web Services tab and enable the Enable Resware to Resware Order Submission office role.

Create a CertSimple Partner
Admin/Partners
- Click New.
- Enter the Company Name as CertSimple Real Estate Tax Certificates.
- Enter the partner’s information and set the Partner Type to Tax Cert Searcher.
- Click Edit Counties and enable the partner for the states and counties where the search integration will be used.
- Click XML Config and select Enable XML Transmission of Notes and Documents and Don’t Also Send Notes and Documents via Email.
- Click Save, Save.
Note: This partner will need to be added to each file using this integration service. It can be auto added by another partner, by the action list, or manually added by a user.

Create a Partner Employee
Admin/Partners
- Highlight the partner created above and click New in the partner employee area.

- Enter the First Name as CertSimple XML Integration Services.
- Enter an Email Address as XML@CertSimpleUSA.com.
- Check Primary Contact, which will default this employee to the primary contact when the partner is added to the file.
- Check Enabled in the Website Access area which allows the web services to be utilized.
- Check Override Username and enter the Username as CertSimple.
- Click Generate to populate a Password. This will ensure that company-specific password requirements are met. Write down this password to use in the validation step.
- In the Office Access area, check Access for the offices where services will be provided. Optionally, check Default if an office will be the primary office.
- Click Save.

Password Validation
Website
After a password is set or reset for a partner employee, the employee is required to enter a new password the next time they access the website. To ensure this integration is set up properly, log into the company’s Resware website with the username and password created in the prior step and create a new password. Provide this new password to CertSimple.
Note: It may be beneficial to set the expiration date of this password out for an extended period of time on the partner employee setup. Check with company-specific password security protocols to verify this will be acceptable or have a reminder in place to update this password as needed to ensure this integration’s service will not be interrupted.

Note: Provide the username and password to CertSimple.
Add XML on Products
The Resware XML package must be added to each product that will use this integration.
Admin/Action Lists/Product Types/XML
- Click Add and select the Resware XML package.
- Click OK.
- Click Save, Close.

Action Events

CertSimple has a defined set of action events to facilitate additional functionality within the workflow, which allows automated communication between Resware and CertSimple.

- Click Add.
- Enter a Name, such as Cancel order.
- Click Save.
- Repeat for each event in CertSimple’s list above.
Note: The ActionEventDefId for each action event will need to be provided to CertSimple.

Resware to Resware Partner Mappings
Admin/Partner Related/Resware to Resware Partner Mappings
- Click Add, then click Select to search for the partner added in the prior step.
- Enter the Username and Password.
Order placement
- Verify that the Service Type is set to Order Placement.
- Enter the URL as https://certsimpleusa.com/Services/Resware/OrderPlacementService.svc.
- Enter the Client ID as provided by CertSimple.
- Enter the Office ID as provided by CertSimple.
- Select the Service Version as v4.
- Check the box for Don’t Send Sales Price or SSNs.
- Click Addto map an internal user to their account with CertSimple.
- Select a Contact from the drop-down menu.
- Enter the Remote ID provided by CertSimple.
- If only one internal user will be mapped, check Default.
- Click Save.
- Repeat for each user as needed.

Note/document
Map the document types in Resware that will be sent to CertSimple.
- Select the Service Type to Note/Document.
- Enter the URL as https://certsimpleusa.com/Services/Resware/ReceiveNoteService.svc.
- Enter 1 as the Coordinator Type ID.
- In the Document Type Mapping area, either:
- Click Add All to add all the document types that are currently available.
Or
- Click Add to add specific documents and select the Document Type.
- The Remote ID will auto populate with the DocumentTypeID.
- Click Save.
- Repeat the above steps for each document type that will be used in this integration.

Search data
- Set the Service Type to Search Data.
- Enter the URL as https://certsimpleusa.com/Services/Resware/SearchDataService.svc.
- Select V2 as the Service Version.
- In Lien Type Mappingarea, either:
- Click Add All to add all lien types currently available.
- A pop-up message will notify the user that all lien types will be added that have not already been added and each will be set with their LienTypeID as the RemoteID.
- Click Add All to add all lien types currently available.
Or
- Click Add to add specific liens and select the Lien Type.
- The Remote ID will auto populate with the LienTypeID.
- Click Save.
- Repeat the above steps for each specific lien type desired for use in this integration.
- Click Save.

File info
This functionality is used to send updated closing dates to CertSimple using the Actual Settlement date field.
- Set the Service Type to File Info.
- Enter the URL as https://certsimpleusa.com/Services/Resware/FileInfoService.svc.

Action events
- Set the Service Type to Action Event.
- Enter the URL as https://certsimpleusa.com/Services/Resware/ReceiveActionEventService.svc.
- The Action Event Mapping area maps action events from Resware to request CertSimple events. Note: This example is showing the defined action events CertSimple provides.
- Click Add.
- Select Cancel order from the Action Event drop-down menu.
- Enter the Code as 40 which was provided by CertSimple. Refer to table in action event section of this job aid.
- Click Save.
- Repeat to enter each defined action event provided by CertSimple.
Note: ActionDefIDs for each action event need to be provided to CertSimple.
- Click Save.

Examples on a File
Direct XML messages – Send order request
File/XML/Resware to Resware
- Select Resware: Send Order: CertSimple Real Estate Tax Certificates from the XML Message drop-down menu.
- If multiple contacts are mapped in the above step, then a pop-up will appear to select the contact.
- Click Send.

An XML message will be returned showing that the order was sent successfully.

In addition, CertSimple will return their assigned transaction number (the file number) which can be viewed on the File/General panel by selecting the CertSimple partner and clicking View. The CertSimple transaction number will display in the File Number field. This can be used to track a transaction with CertSimple by the transaction number.

Direct XML messages – File information or search data
File/XML/Resware to Resware
- Prior to sending the XML Message:
- Send File Info: Enter an updated Actual Settlement date on the General panel of the file.
Or
- Send Search Data: Enter the updated search data information on the Search Data panel of the file.
- Select Resware: Send File Info – CertSimple Real Estate Tax Certificates or Resware: Send Search Data – CertSimple Real Estate Tax Certificates from the XML Message drop-down menu.
- Click Send.

An XML message will be returned showing the information was sent successfully.
XML message automation
Admin/Action Lists/Action Groups
The following steps will create an action that can be incorporated into the workflow and be used to send the XML messages to CertSimple. A separate action needs to be created for each XML message (i.e. Send Order, Send File Info, and Send Search Data).
- Highlight the action group that should have the new action and click Edit Actions.
- Click Add Action.
- Click New Global Action.
- Enter an Action Name, such as Order tax certificate.
- Click Save.
- In the Start Task area, select a Responsible Party Coordinator.
- Other options, such as Auto-start when Added to File, may be utilized, depending on what is needed to make the flow of the action group work for each customer.
- Click Save if there aren’t any more actions to add to the group, or Save, New to add another action.

- Highlight the action for Order tax certificate that was just added and click Edit Affects.
- Click Add in the Complete Task Marked Done Affects section.
- In 5 – Marking Done Sends XML, select the following:
- XML: Resware: Send Order.
- Send To: Tax Cert Search
- Click Save.

Note: Repeat the above steps to create an action for the Send File Info and the Send Search Data XML messages.
Action event automation
The following steps will create an action where an action event will be sent to CertSimple when the action is marked complete. These either request services or notify CertSimple the order is cancelled. Create one action for each action event.
- Highlight the action group that should have the new action and click Edit Actions.
- Click Add Action.
- Click New Global Action.
- Enter the Action Name such as Cancel order.
- Click Save.
- In the Start Task area, select the Responsible Party Coordinator.
- Other options, such as Auto-start when Added to File, may be utilized, depending on what is needed to make the flow of the action group work for each customer.
- Click Save.

- Highlight the action for Cancel order that was just added and click Edit Affects.
- Click Add in the Complete Task Marked Done Affects section.

- XML: Resware: Send Action Event
- Send To: Tax Cert Search
- Action Event: Cancel order
- Click Save.
- Repeat above steps for each action event added for this integration. See list above.

XML messages

XML messages are shown when the order is sent; when file info, search data, or action events are sent; when documents are received or sent; or if there are any issues with processing requests.

CertSimple will return an XML confirmation note when the order is complete and another note with the tax certificate attached.
