Closinglock

Overview

Closinglock is a wire fraud prevention service that includes inbound and outbound wires. Wire instructions are added to a secure portal and customers are granted access to the specific instructions needed on the portal. There are also options for Payoff validation, which provides an easy way to validate the payoff instructions before sending funds.

Setup

This demonstrates how to set up and use the Closinglock integration.

Enable Office Options

Admin/General Setup/Offices/Web Services

  • Highlight the office using this integration and click Edit.
  • Click to enable the Enable Resware to Resware Order Submission and RW2RW: Partners: Use File Number as the Remote File Number if not set office options. 

Add XML on Products

The Resware XML package must be added to each product that will use this integration.

Admin/Action Lists/Product Types/XML

  • Click Add and select the Resware XML package.
  • Click OK.
  • Click Save, Close.

Create a Partner Type

A Closinglock partner is needed that can be used independently for each office to send and/or receive wire information in Resware. 

Admin/Partner-Related/Partner Types

  • Click Add.
  • Enter Wire Instructions Protection as the Name.

Create Partner

Create a partner to use with this integration. This partner needs to be set to auto-add to files. This can be auto-added based on the action list or auto-added by another partner.

Admin/Partners

  • Click New.
  • Enter the Company Name as Closinglock.
  • Enter the partner’s information and set the Partner Type as Wire Instructions Protection.
  • Click XML Config and check both Enable XML Transmission of Notes and Documents and Don’t Also Send Notes and Documents via Email, then click Save.
  • Click Save. 

Create Partner Employee

Create a partner employee on each partner created and grant the employee the appropriate website roles.

Admin/Partners

  • Highlight the partner created above and click New in the partner employee area.
  • Enter a First Name, such as Closinglock.
  • Enter the Email Address as support@closinglock.com.
  • Set the employee as the Primary Contact.
  • Click Enabled in the Website Access area, which allows the web services to be utilized. 
  • Click Override Username and enter a Username such as Closinglock.
  • Click Generate to populate a Password. This will ensure company-specific password requirements are met. Write down this password to use in the validation step.
  • Uncheck Use 2FA. Two-factor authentication is not applicable with this automated functionality.
  • In the Website Roles area, enable the following roles: 
  • Web Services: Add Documents
  • Web Services: Add Notes
  • Web Services: Get Documents
  • Web Services: Get Parties
  • Web Services: Get Partners
  • Web Services: Search Files

Note: It is recommended as a best practice to only enable the roles specific to the services that are specifically provided.

  • In the Office Access area, check Access for the office(s) where services will be provided. Optionally, check Default if an office will be the primary office.
  • Click Save.
Note: The username and password for the employee will need to be provided to Closinglock to enable access to the files.

Password Validation

Website 

After a password is set or reset for a partner employee, the employee is required to enter a new password the next time they access the website. To ensure that this integration is set up correctly, log into the company’s Resware website with the username and password created in the prior step and create a new password. Provide this new password to Closinglock.

Note: It may be beneficial to set the expiration date of this password on the partner employee setup out for an extended period. Check with company-specific password security protocols to verify this will be acceptable or have a reminder in place to update this password as needed to ensure this integration’s service will not be interrupted.

 

Note: The Username and Password will need to be provided to Closinglock, which allows the documents to be returned to Resware on the file’s Documents panel.

Document Type

Closinglock will return multiple documents as a single document type. Create a generic document type for use with all documents that are returned by Closinglock.

Admin/Documents and Templates/Document Types

  • Click to Add.
  • Enter Closinglock as the Document Type.
  • Click Save.
  • Provide Closinglock with the DocumentTypeID of the newly created document type. If the DocumentTypeID column is not showing in the Administer Document Types panel, right click in the grid and choose Show ColumnDocumentTypeID.

Action Events

Closinglock utilizes action events to facilitate automated tasks such as sending wire information to the buyers, sellers and/or partners. An action event must exist for each automated task that is needed. Below is an example to reference but the specific action events needed will vary by location and business needs. 

Admin/Action Events

  • Click to Add.
  • Enter Closinglock – Send “Enter Wire Instructions Description” as the Name. This particular example would instruct Closinglock to send the wire instructions to the buyers.
  • Click Save.
  • Repeat as needed until all action events that are needed have been entered.

Note: Action events can also be used to request wiring instructions from buyers, sellers and/or partners. Example: Closing Lock – RecvWireInfo-Buyers.

Create Partner Mappings

Create and configure the Resware to Resware Partner mappings for use with the Closinglock integration.

Admin/Partner-Related/Resware to Resware Partner Mappings

  • Click to Add.
  • Under the Order Placement service type, click to Select the Closinglock partner company that was just created.
  • Enter X as the Username
  • Enter X as the Password.
  • URL needs a unique <API Key> that is provided by Closinglock. Once obtained, the <API Key> can be replaced within the following URL for use:
    https://closinglock.com/api/resware/f8c339d1-c4e4-414d-b568-8eb173716ac0/<API Key>/sendOrder
  • Enter 1 as the Client ID.
  • Enter 1 as the Office ID.
  • Enter V4 as the Service Version.
  • Check Don’t Send Sales Price or SSNs

Primary contact mapping

This is used to map the internal user receiving the order to the primary partner employee that is sending the order in the remote system.

  • Click Add to set the internal user that is the main contact.
  • Enter the Remote ID. The Remote ID will need to be mapped to the user ID that can be found on Closinglock’s user admin web page (see the second screen shot below). Note: If the user ID is not visible on Closinglock’s site, select column visibility from the users panel and then ID. 
  • Select a Default. Check this to make this internal user the default primary employee of the client for files created in the remote Resware system. Only one contact per partner can be set as the default.

Or

  • Click Add All to add all the internal users that have not already been added. The RemoteID will be defaulted to the source internal users’ InternalUserIDs. Note: This would need to be edited to update with the ID’s from the Closinglock website. 
  • Click Save.
  • On the Action Event service type settings, the URL needs a unique <API Key> that is provided by Closinglock. Once obtained, the <API Key> can be replaced within the following URL for use (this is the same <API Key> that is used in the Order Placement service type URL above):
    https://closinglock.com/api/resware/f8c339d1-c4e4-414d-b568-8eb173716ac0/<API Key>/actionEvent
  • Click Add
  • Select the ‘Closinglock – ‘ action events that were created above. The Code will be provided by Closinglock and will be specific to the action being performed. Coordinate with Closinglock to ensure that all applicable action events are mapped. Note: The Code will always include text.
  • Below is an example to reference.
    • This particular example would instruct Closinglock to send the wire information document, ID: 126, to the buyers. 
  • Click Save, Save.

The wire instruction id’s can be found on the settings page of Closinglock.com under “Available Wire Instructions.”

Action Workflow

In order to automate the order submission and sending of wire instructions and to track the receipt of wire information, an action workflow is needed. The below is an example workflow to use as a reference but exact setup will vary based on need.

Admin/Action Lists/Action Groups

  • Click New to create a new action group.
  • Enter Closinglock as the Action Group Name.
  • Add Closinglock as a selected partner under Partner Specific if these actions should only occur when Closinglock is on the file. 
  • Click Save.

Note: The action group will also need to be added to the action list.

  • Once the action group is created, select the newly created group and click Edit Actions.
  • Click Add Action.
  • Click New Global Action.
  • Enter Closinglock: Send Order as the Action Name and Display Name
  • Click Save.
  • Select a Coordinator for the Responsible Party Start and Responsible Party Complete.
  • Check Dynamic
  • Check Auto-start when Added to File and Auto-complete when Added to File.
  • Click Save.
  • Select the Closinglock: Send Order action and click Edit Affects.
  • Under Complete Task Marked Done Affects, click Add.
  • Click the drop down for XML under 5 – Marking Done Sends XML and select Resware: Send Order.
  • Click the drop down for Send To and select Wire Instructions Protection.
  • Click Save.

Note: This dynamic action will need to be created by another action or a trigger.

  • Enter Closinglock: Wire Information Description as the Action Name and Display Name.
  • Click Save.
  • Select a Coordinator for the Responsible Party Start and Responsible Party Complete.
  • Check Dynamic.
  • Check Auto-start when Added to File and Auto-complete when Added to File.
  • Click Save.
  • Highlight the action just added and select Edit Affects 
  • Select Add under Complete Task Marked Done Affects.

  • Under Complete Task Marked Done Affects, click Add.
  • Click the drop down menu for XML under 5 – Marking Done Sends XML and select Resware: Send Action Event.
  • Click the drop down menu for Send To and select Wire Instructions Protection.
  • Click the drop down menu for Action Event and select the applicable event.
  • Click Save.

Note: the order must be placed before sending the action event for the wiring instructions.

Example on a File

File/General 

  • Add the Closinglock partner created above to the file. 

File/Actions

  • The Closinglock: Send Order action has auto-started and auto-completed.
  • The affect on the completion of the action will place the order with Closinglock automatically. 
  • The Closinglock: Wiring Instructions action has auto-started and auto-completed.
  • The affect on the completion of the action will send the action event to Closinglock.

File/XML

  • The XML tab will reflect that the order and the action event have been sent. 

The buyer, seller and/or partner will then receive an email from Closinglock to access the wiring instructions on their portal.
