Overview
This demonstrates how to give Resware administrators the ability to pull formatted text and images into a document based on a condition being met by the end user’s selection.
Creating the Sub-Templates
Admin/Documents and Templates/Templates
- Click Add.
- Enter the Template Name.
- Set the Document Type to Sub Template.
- Click New to create the document that will be used when this Sub-Template is selected.
- The File name will default to the template name.
- Click Word.
- When the new Word document is open, enter the text and graphics that should be pulled into the main template when the condition of the conditional field is met.
NOTE: Tab stops and margin settings will not be pulled into the main template when the text is pulled. The Sub-Template document contents will adhere to the margin and tab settings in the main document. Text should be entered at the very top of the document, as to not insert any unintentional spaces in the main document.
- Close the document and click Save on the Add Template panel.
- Repeat the above step for all the different conditions of the conditional field that should contain formatted text and graphics.
NOTE: Conditional fields can use a combination of plain text and Sub-Templates for the different conditions of the conditional field. For example, one condition can pull in simple text that is entered in the conditional field, while another condition can pull in a Sub-Template.
Creating a Conditional Field

Create a conditional field with the conditions that should be used to determine which text to pull into the document.
- Click Add
- Enter the Name.
- Select Matches as the Type.
- Use Matches when looking for an exact text match. This is the most common selection.
- Use Returned when determining if data exists. If it does, the conditional field will return “True.” If it doesn’t, the conditional field will return “False.”
- Use Custom to use the information returned by a custom field. This option will allow custom fields to be available when using the Merge Field button.
- Click the Merge Field… button next to the Match On: field.
- Conditional fields can be set to match on default text, merge fields, or custom fields. Merge fields and custom fields can be selected by clicking on the Merge Field button. To match on text, enter it in the Match On field.
- Select a ReswareField. Some fields may also require an additional selection.
- This is where Resware will look to determine a match.
- Click Insert.
- Click Add.
- Enter the text to match in the blank field. Resware will look for an exact match. This is not case sensitive.
- The information provided when the Default radio button is selected will be returned when none of the set conditional values match
- The information provided when the Empty radio button is selected will be returned when what’s set in the Matches On field doesn’t return any data (e.g. there’s no underwriter on the file).
- Click in the Insert field and click Insert Subtemplate.
- Select the Sub-Template that should be inserted and click Insert.
- NOTE: If a specific Sub-Template is not in this list, then it was probably not added to the Sub-Template document category or that category is not enabled for the current office.
- Click Save.
- Repeat for all other necessary conditions.
Add the Conditional Field to the Document
Admin/Documents and Templates/Templates
- Select the document to which the conditional field should be added and click Edit Document.
- When the main template is open, place the cursor where the Sub-Template text should appear and click the Add-Ins ribbon at the top.
- Click Insert Conditional Field.
- Highlight the new conditional field and click Insert.
- The document template will now have the conditional field on it.
- When the template is added to a file and a condition is met, it will display the Sub-Template text that is associated with that condition.
Additional Notes
- This functionality can also be used for signatures needed for various states, client specific logos, policy seals, etc.
- Plain text can also be added in place of Sub-Templates, if the information doesn’t need to have font changes or images included.
- With some lien and easement merge fields, the system can return “N/A” instead of an empty row if there aren’t any liens or easements on the file. To do this, set the Match On field to “N/A.”
