This demonstrates how to set up and use the integration with TitleWave®.

Begin here: Contact TitleWave® to register for services at www.titlewave.net, titlewavesupport@fnf.com, or (866) 472-4845. Inform TitleWave® the account will be a Resware integration. Account information, including a username, will be provided.

Enable the selection of TitleWave® brands for profiles.

Create a TitleWave® Partner

Admin/Partners

  • Click New.
  • Enter the Company Name as TitleWave.
  • Enter the partner’s information and set the Partner Type to Searcher.
  • Click Edit Counties to enable the partner for locations where the search integration will be used.

NOTE: TitleWave® cannot fulfill orders for the following independent cities, which are listed as counties, in the state of Virginia in Resware.  Do not enable TitleWave® in these counties:

  • Covington City
  • Falls Church City
  • Harrisonburg City
  • Lexington City
  • Manassas Park City
  • Norton City
  • Poquoson City
  • Click Close.
  • Click Save.

Create a Partner Employee

Admin/Partners

  • Highlight the partner created above and click New in the partner employee section.
  • Enter a First Name such as TitleWave Integration Services.
  • Enter an Email Address.
  • Check Primary Contact, which will default this employee to the primary contact when the partner is added to the file.
  • Check Enabled in the Website Access area.
  • Check Override Username and change the default Username to TitleWave.
  • Click Generate to populate a Password. This will ensure company-specific password validation rules are met. Write down this password to use in the validation step.
  • In the Office Access area, check Access for the offices where services will be provided. Optionally, check Default if an office will be the primary office.
  • Click Save.

The TitleWave® partner must be on the file in order to send search requests. It is recommended that the TitleWave partner be auto-added by another partner or added in the workflow.

Password Validation

Website

After a password is set or reset for a partner employee, the employee is required to enter a new password the next time they access the website. To ensure this integration is set up correctly, log into the company’s Resware website with the username and password created in the previous step, and create a new password. Provide this new password to TitleWave®.

NOTE: It is recommended that the expiration date of this password on the partner employee setup be set out for an extended period. Check with company-specific password security protocols to verify this will be acceptable or have a reminder in place to update this password as needed to ensure this integration’s service will not be interrupted.

NOTE: The Username and Password will need to be provided to TitleWave® to ensure documents are returned on the file’s Documents panel.

Set up the XML Client Information

Admin/General Setup/XML Clients

To configure the Fidelity authentication service:

  • Select the Fidelity XML client and click Edit.
  • Click the Enabled checkbox to enable this service.
  • Enter the User Token URL as https://agency-webapi.fnf.com.
  • Enter the JWT URL as https://authtr.fnf.com/api/FnfAuthIdentityProvider/GetToken.
  • Enter the Client ID obtained from Fidelity’s authentication portal.
  • Enter the Client Secret obtained from Fidelity’s authentication portal.

To configure TitleWave: Select the TitleWave XML client and click Edit.

  • Click the Enabled checkbox to enable this service.
  • Enter the TitleWave UserID provided by TitleWave®.
  • Click Search to enter the Remote File Partner as TitleWave.
  • Click Search to enter the Incoming Document Type, such as Search Package from the drop-down menu.
    • All incoming documents from TitleWave® will be set to this document type.
  • Click Search to enter the Incoming Easement Type, such as Other from the drop-down menu.
    • All incoming easements from TitleWave® will be set to this easement type.
  • Click Search to enter the Incoming Lien Type, such as Other from the drop-down menu.
    • All incoming liens from TitleWave® will be set to this lien type.

TitleWave profiles

Multiple profiles are set up to manage the variety of locations, order types, and product types available through the specific service setup with TitleWave®.

  • Click Add in the TitleWave Profiles section to create a profile.
  • Enter a Name for the profile.
  • Select a state that is covered in the State Coverage area by clicking Add and selecting one or more states.
  • Select a Company.
    • If this field doesn’t populate, the TitleWave UserID is not configured to service one or more of the states selected. Contact TitleWave® to gain access to the state.
  • Select an Order Type.
    • If this field doesn’t populate, TitleWave® isn’t providing any order types for the company selected. Contact TitleWave® to obtain order types.
  • Select a Product Type.
    • If this field doesn’t populate, TitleWave® isn’t providing any product types for the order type selected. Contact TitleWave® to obtain product types.
  • Select a Brand.
    • If this field doesn’t populate, TitleWave® isn’t providing any product types for the order type selected. Contact TitleWave® to obtain brands.
  • To refresh the selection options for a state, select the state and click Fetch Data. This will fetch new data for the Company, Order Type, Product Type, and Brand selections from TitleWave®.
  • Click Save.
  • Repeat for each profile that is needed.

Document Type Setting

Admin/Documents and Templates/Document Types

  • Select the document type that was set in the above step as the Incoming Document Type and click Edit.
  • Check Allow Upload for Partner Types in the Website section.
    • If all partner types should be able to upload this document type, click All.

OR

  • If only selected partner types should be able to upload this document type:
    • choose Selected and click Edit to open the Allow Upload for Partner Types/Trans/Product Types panel.
    • In the Partner Types section, click Add to select partner types. After adding the desired partner types, click Add.
    • Click Close.

NOTE: The TitleWave partner type, Searcher, must be able to upload this document type.

Set up the XML Tab on Products

  • Edit each product for which TitleWave functionality is needed.
  • Go to the XML tab.
    • Click Add and select TitleWave.
    • Click OK.
  • Click Save.

Examples on a File

XML – sending an order manually

File/XML/Generic

  • Select TitleWave: Order Submission from the XML Message drop-down menu. This should be available as long as the file’s product has the XML package added.
  • Click Send.
  • Select a profile to use and click Save.

A confirmation the order was received by TitleWave® will be returned and displayed on the File/XML panel, and the TitleWave order number assigned by TitleWave’s system will be displayed in the File Number field on the TitleWave partner on the file.

XML – sending notes and/or documents manually

  • Select TitleWave: Send Note or TitleWave: Send Document from the XML Message drop-down menu and click Send.
  • Notes and documents can only be sent after TitleWave® has received an order.
  • Select a note or document to send to TitleWave® and click Save.

NOTE: The list of available notes or documents will populate from existing notes and documents on the file.

  • A confirmation that the note or document was received will be returned and displayed.
    • If a document is attached to the note being sent, only the note is sent; the document will need to be sent separately.
    • If a note is attached to the document being sent, only the document is sent; the note will need to be sent separately.

Actions – sending an order automatically

Admin/Action Lists/Action Groups

  • Highlight the action group that should have the new action and click Edit Actions.
  • Click Add Action.
  • Click New Global Action.
    • Enter Action Name such as Order Search from TitleWave.
    • Click Save.
  • Select a Coordinator for the start and complete of the action.
  • Other options, such as Auto-start when Added to File, may be utilized, depending on what is needed to make the flow of the action group work for each customer.
  • Click Save.
  • Highlight the action that was just added and click Edit Affects.
  • Click Add in the Complete Task Marked Done Affects section.
  • In 5 – Marking Done Sends XML, select the following:
  • XML: TitleWave: Order Submission
  • Send To: Searcher
  • Parameter: Select the profile from the drop-down menu that is desired.
  • Click Save.
  • Repeat for each additional profile as needed.
    • Additional actions can be created if necessary. These actions can also be location-specific to assist in ensuring that the correct action/profile combination will be utilized on files.
  • Create new actions for sending documents using the steps above if documents should also be sent automatically at various points throughout the life of the file.

Receiving data from TitleWave®

File/XML/Generic

The history of all XML sent and received is available on this panel.

  • If search data is received from TitleWave®, liens and easements will be added to File/Search Data using the easement and lien types specified in the TitleWave setup. The external trigger for XML: Search Data Updated can be configured to add an action to the file or affect an existing action on the file to notify the user that data has been received from TitleWave®.
  • Existing Search Data fields, such as the vesting, legal, leasehold, or commitment effective date, that did not contain data before receiving information from TitleWave® will be updated with the data provided by TitleWave®.
  • Existing Search Data fields that contained data when the information was received from TitleWave® will not be overwritten with the data from TitleWave®. A note will be added to File/Notes with information about which fields were updated and which fields were not updated.

NOTE: These notes should be carefully reviewed, as the user may need to manually update data that was not automatically updated.

  • TitleWave® can also send notes and documents to Resware at any point during the life of the file.
  • Notes will be added to File/Notes.
  • Documents will be added to File/Documents as the document type specified in the TitleWave setup.
  • The external trigger for Document Added can be configured to add an action to the file or affect an existing action on the file to notify the user that a document has been received from TitleWave®.

Documents

When receiving documents from TitleWave, the attached document will use the Incoming Document Type configured on the XML Client panel in the setup.

If an error occurs receiving a document from TitleWave, a note will be posted to the file. 

Notes

There is one method to send a note to TitleWave. First, the TitleWave partner must be on the file and there must a remote file number, otherwise, an error will show on the XML panel.

The manual method is to send a note using the XML panel on a file, click the drop-down, select the TitleWave: Send Note option and click Send. A pop-up will show where the user selects a note from the file. Only one note can be sent at a time.

There is no automated way of sending notes to TitleWave.

If an error occurs receiving a note from TitleWave, there is no other way of notifying Resware an error occurred. This would only happen if the notes API is not working.

Do not send HTML notes to TitleWave; use plain-text

Search data

Resware will receive search data from TitleWave after an order has been initiated and is successful. The Incoming Lien Type and Incoming Easement Type must be set in the XML Client panel before search data is received by Resware. 

Updates after the initial order

  • Liens and easements and most items on the Search Data tab are added/updated.
  • Everything is on a note, whether it is updated or not.
  • Some items, like names, we don’t update.
  • The user should review the note and see if anything else should be updated.

FAQ

Can I order two products from the same Resware order?

For example, can I submit an order for a Title Search Report, which is linked to the Residential Buy/Sell order type, and also submit a request for another product that is linked to the same order type, like a tax request? Can these be ordered at the same time or at different times in the transaction? Can a profile be created in Resware that can accommodate this?

You are able to individually submit orders from Resware using profiles that are linked to the same TitleWave order type and product type. However, you cannot create a single profile that will request both products in a single request; only one order type/product type can be set up per profile.

Can I order two products from the same Resware order that are different order types?

For example, can I submit an order for a Title Search Report which is connected to the Residential Buy/Sell order type and also submit an order for a Two Owner Search which would be connected to a Property Report order type?

Multiple products can be ordered from the same Resware file, but separate profiles will need to be set up for each, and requests must be submitted separately.

TitleWave will not add specific Mortgage Requirements to a Search Report because it isn’t considered a Title Commitment. The Mortgage Requirements would fall under the Title Commitment category and as such the Title Company is responsible for adding any additional requirements.
