Ledgers: Based on Product Type

Overview

This demonstrates the ability to auto-assign ledger based on a product type and has the ledger be correctly replaced if the product type is changed.

Creating the Partner Type

  • Click Add to create a new partner type called Product Type.

  • Complete the required bold fields for this partner type, setting the Locale Restriction to County.
  • Set the Max Per File field to only allow one partner of this type per file.

Fields in bold on the panel (above) are required. The fields are defined as follows:

  • Enabled: If unchecked, the partner type will no longer be available for use by normal users.
  • Name: Name of the partner type.
  • Max Per File: This defines the maximum number of partners of this type that can be added to a single file. Once this maximum has been reached, the user will be told that the existing part of this time must first be removed before a new one can be added.
  • Locale Restriction: This determines how a partner is selected when searching for a partner. The selection will determine what is displayed in the partner search after selecting this partner type.

Creating the New Partners

Admin/Partners

  • Click New to create a partner for each product type that should have a specific ledger set.
  • Complete the required bold fields for the new partner.
  • Confirm the partner type is set as Product Type
  • Click Save.
  • Repeat until there is the same number of partners as product types.

  • After a new partner has been saved, edit the partner.
  • Select Edit Counties to set the default product and coverage areas.   

 

  • Enable the partner for the product type after which they are named by setting the state, selecting the product type, and then clicking on the Enabled column header.  This will enable all counties for that state or each county can be enabled individually as needed.  The partner should be disabled for all other product types.

The partner should be disabled for all other product types.

Override Ledger

  • On Edit Partner, click the Override Ledgers button to set the default ledger for this partner.  This allows a partner to override a ledger when the partner is added to a file. This is office and partner type specific.

Auto-Adding the Partner to the Action List

  • Select the action list to which the product specific partner should be added and edit the action list.
  • Click Add to add the Product Type partner to the Auto-Add Partner Types on File Creation.  This will auto-add the Product Type partner at the time of order entry, so users will not have to manually add the partner to the files.

Getting the Partner to Remove and Add if the Product Type Is Changed

Admin/Action Lists/Action Groups

  • Edit the Default External Triggers group and click Edit Actions.
  • Add an action such as Product Type Partner Action.
  • Set the Responsible Party for the start and complete to Partner Type.
  • Set the action as Dynamic.
  • Set the action as Auto-Complete When Added to File.
  • Click Save.

  • Highlight the action and click Edit Affects.
  • Click Add in the Complete Task Marked Done Affects area.

  •  In 4 – Marking Done area
    • Set Value to Partner: Remove & Add.
  • Click Save.

  • With Default External Triggers highlighted, click Edit Triggers.
  • Select the External Trigger as Product Changed trigger.
  • In 1 – Marking Done Creates Action area:
    • Set the Group to Default External Triggers
    • Set the Action to Product Type Partner Action
  • In 3 –  Marking Done Affects Action area:
    • Set the Group to Default External Triggers
    • Set the Action to Product Type Partner Action
    • Set the Task to Start
    • Check the box to Mark Done.
  • Click Save.

When this trigger and action affect combination are set up and the file’s product is changed, the product type partner for the product that was removed will also be removed and the product type partner for the product that was added will be added to the file.  Since ledgers are associated with these product type partners, the ledger on the file will be set to the ledger of the newly added product when the corresponding product type partner is added.
