Mapping Recording Jurisdictions

Overview

This demonstrates how to map recording jurisdictions, which are required for recording service integrations, such as Simplifile, ePN, and CSC.  Counties may be mapped automatically or manually, depending on whether or not there is a default jurisdiction for the county.  

Mapping Jurisdictions Automatically

Admin/Recordings/Recording Services/Jurisdiction Mappings

  • Select a Recording Service
  • Select a set of Credentials.
  • The State will default to All States.
    • If only a specific state should be mapped, select the State.
  • Click Generate Mappings.

  • Click OK.

  • The jurisdictions that have mappings will populate.

  • When the mappings are retrieved, click Add.
    • If not all of the mappings should be added, uncheck the Include box.

  • This will map the jurisdictions for all the Credentials, even though only one set of credentials is selected.  The credentials are used to validate an account with the recording service.
  • Click Save. 

NOTE: Not all counties will be mapped automatically, as not all counties have jurisdictions. For counties that don’t have set jurisdictions, mappings will have to be manually created. Mapping jurisdictions manually may be done in in the Recording Services area or on the file. Please see below for instructions on how to add jurisdictions manually.

Mapping Jurisdictions Manually

Admin/Internal Users

  • Edit an internal user and enable the user right for Recording: Allow User to Add Jurisdiction Mappings.
  • Save.

Admin/Recording/Recording Services/Jurisdiction Mappings

  • Select a county in the Resware Counties list that wasn’t mapped automatically.
  • Click Add in the Recording Service Jurisdictions.
  • Select a “jurisdiction” to map to the selected county in the Add Recording Service Jurisdiction panel.
  • Click Add.

  • This will map the jurisdictions for all the Credentials, even though only one set is selected.  The credentials are used to validate an account with the recording service.
  • Click Save when the mappings are complete.

File/Recordings

  • Highlight a recording item and click Send to Simplifile.
  • Select a Simplifile Account.
  • If a jurisdiction is mapped, it will be selected by default in the State Jurisdictions dropdown.
  • If a jurisdiction is not mapped, select the Show All For State option.
  • The State Jurisdiction dropdown will populate with all the jurisdictions for the state.  Select one.

If the jurisdiction was not mapped and a user manually selected a jurisdiction, the user will be prompted to add the jurisdiction mapping when clicking the Save button. Click Yes to update the mapping.

  • This will only need to be done once per jurisdiction.

Removing a Mapping

Admin/Recordings/Recording Services/Jurisdiction Mappings

  • Select a Recording Service.
  • Select a set of Credentials.
  • Select a county in the Counties area.
  • Select the jurisdiction that should be removed from the Recording Service Jurisdictions area and click Remove.
  • Click Save.

NOTE: This will remove the mapping for all credentials for the selected service.
