Overview
This demonstrates how to utilize Word’s ability to restrict document editing in conjunction with Resware’s document templates.
Adding Word’s Developer Tools
- Open Word.
- Click on File.
- Click Options.
- Click Customize Ribbon.
- Check Developer.
- Click OK.
Adding editable fields to the template
Admin/Documents and Templates/Templates
- Select the template that should be restricted and click Edit.
- Put the cursor where the user should be able to edit when the document is restricted.
- Go to the Developer tab and click on the Legacy Tools option.
- Use the ab Legacy Forms tool to insert pause fields.
- NOTE: Word’s pause fields must be used for users to be able to insert information into restricted documents. If Resware’s pause fields are used, this functionality will not work.
- The text form fields look like “o o o o” when inserted into the template.
- After the template has been fully formatted, exit design mode by unclicking Design Mode on the Developer tab.
Restricting editing on the document
Admin/Documents and Templates/Templates
- Edit the template and go to the Developer tab.
- Click Restrict Editing.
- NOTE: Design Mode cannot be in use when Restrict Editing is selected. If the template needs to be edited, the restriction will have to be removed.
- In section 1, check Limit formatting to a selection of styles.
- In section 2, check Allow only this type of editing in the document and select filling in forms from the dropdown list.
- In section 3, select Yes, Start Enforcing Protection.
- Set a password to protect this document.
- Save the document to the server.
Example on a file
File/Documents
- Click Create and select the template.
- Enter data in each text form field.
- Using the Tab key on the keyboard is the most efficient way to move from field to field.
- Users will only be able to enter data in text form fields; the rest of the document will be restricted.
