After a password is set or reset for a partner employee, the employee is required to enter a new password the next time they access the website. To ensure this integration is set up properly, log into the company’s Resware website with the username and password created in the prior step and create a new password. Provide this new password to Signature Closers.
Note: It may be beneficial to set the expiration date of this password on the partner employee setup out for an extended period of time. Check with company-specific password security protocols to verify this will be acceptable or have a reminder in place to update this password as needed to ensure this integration’s service will not be interrupted.

Note: The Username and Password will need to be provided to Signature Closers to ensure the documents are returned on the file’s Documents panel.

- Click Save.
- Repeat the above steps for each document type required based on services provided.
- Click Save.
Note: Documents from Resware are associated to the order, not the individual signings. If multiple signings occur on a single file, then additional document types will need to be created in Resware to distinguish a second signing (e.g. Signing 2 – Closing Package). Provide Signature Closers with the DocumentTypeID for any document types specific to a multiple closing. Otherwise documents received by Signature Closers will be associated with the earliest open signing.

Send XML manually (Test)
The following steps will send the information to Signature Closers manually. This is typically used only to test the integration. Setting up actions in the workflow is preferred to manage the integration and reviewed in the next section of this article.
File> General

File> Signings
Before sending an XML signing request, a signing needs to be created with Signature Closers assigned as the notary partner.
- Click on Add to create a signing.
- Complete the needed information including adding Signature Closers as the Notary in the Additional Parties area. Signing Type, Date/Time, and Location are fields required by Signature Closers.
Note: For dual or two-part signing scenarios, contact Signature Closers to review the process.

#Hashtags
Signature Closers created #Hashtags which can be used in the Special Instructions area on the File/Signings panel to send additional information not otherwise included in the Signings XML. Detailed information can be found on the SYNC website at Settings/ResWare Integration/Special Instruction #Hashtags. The following are the current hashtags available:
- #Skip# Skip the Assignment Rule’s Scheduling Actions.
- #fax# Signing requires the notary to fax or scan documents back.
- #nodocs# Immediately moves the status to Docs Forwarded, Pending Closing when the notary is assigned.
- #rate:___# Override the Assignment Rule’s default rate.
- #pre:___# Notes the notary will see before accepting a signing.
- #preferred:___# Email address or addresses for preferred notaries.

- Select Signature Closers in the Partners/Buyers/Sellers area by clicking in the box to the left of the partner name.
- Click Send.

Correspondence samples
This is a sample of an email that Signature Closers will send to the title company to confirm that a signing request has been received and that they are actively assigning it to a notary.
This is a sample of an email Signature Closers will send to the title company once a notary has been assigned and scheduled. A preliminary invoice will be attached to this email along with a document detailing the closing information and assigned notary contact information.

Set up auto-order placement
The following setup will send the order to Signature Closers as soon as the Signature Closers partner is added to the file. This does not send a signing request. Rather, it sends over the general order information such as the property address before the signing is sent. This step is required before a signing request can be sent.

Set up an action to request a signing
Setting up the following action will allow a user to send a signing request to Signature Closers from within the workflow of the file. Prior to completing this action, the user would need to create a signing on the Signings tab in Resware.
Note: Sending multiple signings requires that each signing is created and processed separately. Add the first signing, send the XML order, send the XML signing request, and verify it was received successfully, then repeat for the second signing. Contact Signature Closers to review the steps for sending dual and two-part signings.

Note: This concludes the set up necessary for the full-service integration. The next section includes the additional steps necessary if the optional SYNC self-service integration is being used. Verify with Signature Closers which service is being used before proceeding.
SYNC – Signature Closer’s self-service integration
This integration will allow the user to remain in Resware to handle detailed steps of the notary process without needing to manage the process on the SYNC website. There is an event that can switch from self-service to full-service on a file when needed. Contact Signature Closers for more information and a demonstration of this process. The service accepts the file number of the signing and an action event code. If more than one open signing exists in SYNC with that file number, then the signing scheduled to happen first is used. For two-part signings, SYNC will need to be accessed directly to perform the action on the second part of the signing if the first part is still open.
Using the instructions above, the following additions and changes are required to utilize SYNC, the self-service integration.
Resware to SYNC
The following optional events, along with their SYNC codes and descriptions, are available to add in Resware to send information to SYNC. These events are sent as action affects and are mapped in Resware to Resware to the Signature Closers partner.
Code | Description of SYNC Event |
---|---|
5,10,15,20,25,50,75, & 100 | Increments the rate by $5, $10, $15, $20, $25, $50, $75, or $100, respectively. If a notary is assigned, then the notary will receive an updated confirmation with the new rate. Pass a negative number to decrease the rate by any of those amounts. |
110 | Un-assigns the notary from a signing. The notary will receive a confirmation that he or she was un-assigned. |
179 | Deletes the preferred notary information sent originally via the Signing XML when the notary’s email is entered in the Special Instructions area on the Signings panel in Resware using this format: #preferred:x@x,.x#. (Replace x@x.x with an actual email). |
180 | Assigns the preferred notary sent via the Signing XML when the notary’s email is entered in the Special Instructions area on the Signings panel in Resware using this format: #preferred:x@x.x#. (Replace x@x.x with an actual email). The preferred notary must be in compliance and active to be assigned. If the notary works with a team or partner notaries, then the parent notary is assigned as the notary for the signing. To change the partner assigned, open the signing in SYNC and use the Change Partner button below the notary’s picture to select the partner that will complete the signing. If multiple preferred notaries were sent, then the first preferred notary is assigned. |
181 | Resends the notary confirmation to the notary. |
182 | Resends the notary confirmation to the title company contact, his or her team (if applicable), and any status plus contacts sent using #ccstatusplus:x@x.x# (Replace x@x.x with an actual email) in the Special Instructions area on the Signings panel in Resware. |
199 | Deletes all documents uploaded to the signing (including shipping labels automatically created by SYNC when the signing was created) before the signing is complete. Documents are automatically deleted from signings at 4:30 a.m. ET five days after the signing. |
200 | Changes the status of the closing to Docs Forwarded, Pending Closing (when a notary is assigned) or to resend the Documents Available email to the notary with links to download the documents. |
201 | Changes the status when the notary confirms the signing with the signers. The notary can change the status via the Signing Catch app and online.
|
202 |
|
203 |
|
211 |
|
212 |
|
213 |
|
214 |
|
299 | Checks the notary in at the signing. |
300 | Closes out a file and mark it as Completed Successfully. The notary has an opportunity to close the file using the Signing Catch mobile app, calling Signature’s 888 number in the confirmation email, or by updating the status of the signing online. Any open signings at the end of the month will be marked as Completed Successfully if not updated otherwise. |
305 | Closes out a file and mark it as Did Not Sign (Trip Fee). This status indicates the notary made a trip or started his or her trip to meet the signers, and the signers did not want to sign the documents. By default, the notary’s fee is cut in half since the signers did not sign, but the notary still made an effort to meet the signers to have the documents signed. The notary can also indicate the signing was a ‘no sign’ via the Signing Catch app, by calling it in or updating the status online. |
400 | Cancels a signing before the notary makes a trip to meet the signers. Cancelled files do not incur a SYNC fee and the notary, if assigned, is not paid. Confirmations of the cancellation are sent to the notary and any contact on the signing (excluding the signers). |
614 | Sends an unassigned signing to Signature’s full-service team to manage. A higher fee may be associated with signings ‘Sent to Signature.’ Once sent, Signature will see the signing to completion. To take the signing back in-house, cancel the signing and resend the Order XML and Signing XML to create a new signing. |
1001 + | Used when a notary proposes a price for a signing, SYNC will send a note to Resware with the notary’s name, phone number, proposed price, any notes, Signature Tier, error rate, and the 100x Action Event Code to send SYNC to assign that notary. The first proposed price will be 1001, the second 1002, etc. |
