SnapDocs streamlines the signing process from start to finish. When you need a signing agent, the platform calculates the most qualified candidates based on work history, rating, and distance – then contacts them for you via email and text message. Finally, after the signing, our automated system contacts the notary again for completion status.

This demonstrates how to set up and use this integration.

Begin here: Contact SnapDocs to register for services at support@snapdocs.com. Inform SnapDocs the account will be for a Resware integration. Account information will be provided, including Resware to Resware URLs for each active account notary.

Next: Complete the following set up steps. Note: Set up a separate Resware to Resware partner mapping for each notary partner that is active through the SnapDocs account. Note the PartnerIDs to provide to Resware.

Next: Contact support@resware.qualia.com and provide the PartnerIDs for each notary to update the configuration files.

Office Option

Admin/General Setup/Offices

  • Highlight the office using this integration and click Edit.
  • Select the Web Services tab and enable the Enable Resware to Resware Order Submission office option.

Internal Users

Provide a list to SnapDocs of internal users with InternalUserIDs that will be sending orders through this integration. SnapDocs will then provide a RemoteID for each internal user to be used in the Resware to Resware partner mapping step of this article.

Admin/Internal Users

  • Right-click on the grid and select View as Report to print the list of internal users.
    • Select Export to export the list to Excel or as a PDF or click the printer icon to print from the report viewer.
    • Provide the list to SnapDocs to receive RemoteIDs.

Create a Notary Partner

Admin/Partners

  • Click New.
  • Enter a Company Name, such as Notaries R Us.
  • Enter the partner’s information and set the Partner Type to Notary.
  • Click Edit Counties and enable the partner for the states and counties where the integration will be used.
  • Click XML Config and select Enable XML Transmission of Notes and Documents and Don’t Also Send Notes and Documents via Email.
  • Click Save, Save.

NOTE: This new partner must be on a file when ordering services through SnapDocs. It can be auto-added by another partner, by the action list, or manually added by a user.

Create a Partner Employee

Admin/Partners

  • Highlight the partner created above and click New in the partner employee area.

NOTE: The SystemID (also known as the PartnerID) which will need to be provided to Resware for each notary added using this integration. The username and password will need to be provided to SnapDocs for each notary using this integration.

  • Enter the First Name as SnapDocs Integration Services.
  • Enter the Email Address of the notary company.
  • Check Primary Contact, which will set this employee as the primary contact by default when the partner is added to the file.
  • In the Website Access area, click Enabled. This allows the web services to be utilized.
  • Check Override Username and enter the Username such as notariesRus.
  • Click Generate to populate a Password. This will ensure company-specific password requirements are met. Write down this password to use in the validation step.
  • In the Office Access area, check Access for the offices where services will be provided. Optionally, check Default if an office will be the primary office.
  • Click Save.

Password Validation

Website

After a password is set or reset for a partner employee, the employee is required to enter a new password the next time they access the website. To ensure this integration is set up properly, log into the company’s Resware website with the username and password created in the prior step and create a new password. Provide this new password to SnapDocs.

NOTE: It may be beneficial to set the expiration date of this password on the partner employee setup out for an extended period of time. Check with company-specific password security protocols to verify this will be acceptable or have a reminder in place to update this password as needed to ensure this integration’s service will not be interrupted.

NOTE: The Username and Password for each notary setup using this integration will need to be provided to SnapDocs to ensure the documents are returned on the file’s Documents panel.

Add Signing Types

Signing types are needed for this integration. The chart below shows a few standard examples which may be used. In addition, custom signing types may be added. Note: As of version 9.9 this is managed in Resware. Resware’s support will add the signing types in earlier versions. Provide the SigningTypeIDs to SnapDocs for all signing types used with this integration. SnapDocs will then provide RemoteIDs for each signing type to use for the Resware to Resware partner mapping section in this article.

Admin/General Setup/Signing Types

  • Click Add.
  • Enter a Name of the signing type, such as Refinance.

NOTE: Maximum of 30 characters.

  • Click Save.
  • Repeat to add all signing types needed for this integration.

Resware to Resware Partner Mappings

  • Click Add, then click Select to search for the partner added in the prior step. Note: A separate Resware to Resware mapping is needed for each notary partner created for the integration.

  • Enter and X as the Username and Password.

Order Placement

  • Verify that the Service Type is set to Order Placement.
  • Enter the URL as provided by SnapDocs. A unique URL will be provided for each notary partner.
  • Set the Client ID to 1.
  • Set the Office ID to 1.
  • Select v3 as the Service Version.
  • Check the box for Don’t Send Sales Price or SSN’s.
  • The Primary Contact Mapping area maps the Resware user to the SnapDocs account user.
    • Click Add to map an internal user to their account set up with SnapDocs.
      • Select the Contact.
      • Enter the Remote ID as provided by SnapDocs.
      • If only one internal user will be mapped, check Default.
      • Click Save.
      • Repeat for each user as needed.

NOTE: When new users are added to SnapDocs, return here to add their RemoteIDs to the integration.

Notes/Documents

  • Set the Service type to Notes/Documents.
  • Enter the URL as provided by SnapDocs.
  • Set the Coordinator Type ID to 1.
  • The Document Type Mapping area maps all of the document types that will be used between Resware and SnapDocs. At least one document type needs to be added.
    • Click Add.
    • Select a Document Type.
    • In Resware versions 9.6 or earlier, enter a as the RemoteID. In versions 9.7 or greater, the RemoteID will auto-populate with its DocumentTypeID.

Signing

  • Set the Service type to Signing.
  • Enter the URL as provided by SnapDocs.
  • The Signing Type Mapping area maps all signing types that will be used between Resware and SnapDocs. The signing types created in the prior step need to be added.
    • Click Add.
    • Select a Signing Type.
    • Enter the RemoteID from the chart in the prior step (as provided by SnapDocs).
  • Click Save.

  • Repeat the Resware to Resware partner mapping setup for each notary using the SnapDocs integration.
  • Provide the PartnerID to Resware to add each notary to the system configuration.

Enable the XML Tab on Products

Admin/Action Lists/Product Types

  • Edit each product on which enabling the SnapDocs functionality is needed.
  • Click the XML tab. If the Resware XML package already exists on the product, skip to the next product type.
    • Click Add and select Resware.
    • Click OK.
  • Click Save.
  • Click Close.

Examples on a File

Prepare the Signing

File/Signings

For each signing on a file, complete the following information at minimum, as required by SnapDocs. Then process the two XML events in order to send an order to SnapDocs.

  • Click Add.
    • Enter a Signing Name. Signing 1 will default for the first signing on a file. Note: It is recommended to keep the default signing names (e.g., Signing 1, Signing 2) to avoid confusion on multiple signings. If the name is manually changed, use a unique and descriptive name such as Buyer-Jones or Seller-Jones.
    • Enter the Date/Time/Length of the signing using the drop-down calendar and toggle options or by manually entering the information. Times entered need to be in fifteen-minute intervals (e.g. 11:00am, 11:15am, 11:30am, 11:45am).
    • Select the Signing Type. Select from one of the types mapped with the SnapDocs notary.
    • In the Signing Parties area, click Add to select the party on the file that is the transactee of the signing.
    • Click Fill from Transactee in the Transactee Contact Information section.  This will auto-populate all phone and email information from the partner panel to the Transactee Contact Information area.  Please note: The transactee is the Services For party that is set on the product type.
    • In the Transactee Contact Information area, enter any contact information that is blank.
    • Enter a Location.
    • In the Additional Parties area, select the Notary as the SnapDocs notary. If the partner is not already on the file, then click Add to add the partner.

Send the Order

This will send the order to the SnapDocs notary. Upon successful receipt, the notary will return an order number which is displayed in the XML Message grid on the XML tab. It can also be found on the General tab in the Partners area by selecting the notary partner and clicking View. The order number is populated in the File Number field.

  • Select Resware: Send Order – Notaries R Us in the XML Message drop-down menu, then click Send.

NOTE: This step can be done once the partner is added to the file and prior to the signing being added to the file.

Send the Signing

Verify that the order was sent successfully and that the order number has been added to the file prior to sending the signing.

  • Select Resware: Send Signing – Notaries R Us in the XML Message drop-down menu, then click Send.

XML messages are shown when the order is sent (with the file number in the Comments column), when the signing is sent, when documents are received or sent, or if there are any issues with processing either request.
