Setup

This demonstrates how to set up and use this integration.

 

Begin here: Contact The Closing Exchange for further information or to register for services at their website www.theclosingexchange.com, email them at sales@theclosingexchange.com, or call (833) 432-4321. Inform The Closing Exchange that the account will be for a Resware integration. Account information will be provided including the ClientID, account username, password, and unique AgentID’s for each user.

Next: Complete the following set-up steps. The account information provided by The Closing Exchange will be needed to complete these steps. The Resware website URL, employee username and password, and the DocumentTypeID to return executed documents will need to be provided to The Closing Exchange to complete the process.

Resware Website URL

The Closing Exchange needs the URL that is used to access the company’s Resware website. Edit the office where this integration will be implemented to note the Resware website URL. If this field is blank, then contact support@resware.qualia.com to request this information.

Create a Closing Exchange Partner

Admin/Partners

  • Click New.
  • Enter the Company Name as The Closing Exchange.
  • Enter the partner’s information and set the Partner Type to Notary.
  • Click XML Config and check both Enable XML Transmission of Notes and Documents and Don’t Also Send Notes and Documents via Email, then click Save.
  • Click Edit Cities or Edit Counties as available to enable the partner for locations where the notary integration will be used.
  • Click Save.

Create a Partner Employee

Admin/Partners

  • Highlight the partner created above and click New in the partner employee area.
  • Enter the First Name as Closing Exchange Integration Services.
  • Enter the Email Address as support@theclosingexchange.com.
  • Check Primary Contact, which will default this employee to the primary contact when the partner is added to the file.
  • Check Enabled in the Website Access area, which allows the web services to be utilized.
  • Check Override Username and enter the Username as ClosingExchange.
  • Click Generate to populate a Password. This will ensure company-specific password requirements are met. Write down this password to use in the validation step.
  • In the Website Roles area, enable the following roles:
    • Web Services: Add Documents
  • In the Office Access area, check Access for the offices where services will be provided. Optionally, check Default if an office will be the primary office.
  • Click Save.

NOTE: The username and password for the employee will be needed to be provided to The Closing Exchange.

Password Validation

Website

After a password is set or reset for a partner employee, the employee is required to enter a new password the next time they access the website. To ensure this integration is set up properly, log into the company’s Resware website with the username and password created in the prior step and create a new password. Provide this new password to The Closing Exchange.

NOTE: It may be beneficial to set the expiration date of this password on the partner employee setup out for an extended period of time. Check with company-specific password security protocols to verify this will be acceptable or have a reminder in place to update this password as needed to ensure this integration’s service will not be interrupted.

NOTE: The Username and Password will be need to be provided to The Closing Exchange to ensure the documents are returned on the file’s Documents panel.

Document Types

Admin/Documents and Templates/Document Types

Two unique document types are recommended for this integration. One to receive notarized documents and one to notify the file when a signing agent has been assigned. If document types do not already exist that can be used, then follow these steps to create new document types to provide to The Closing Exchange. Make note of the DocumentTypeID’s and provide to The Closing Exchange to return documents.

Create the first document type to receive notarized documents:

  • Click Add.
  • Enter the Document Type as Final Notarized Documents.
  • Verify that the Default to Internal Only option is unchecked.
  • In the Website area, check the Allow upload for Partner Types option.
    • Either check All for all partner types.

OR

  • Check Select and click on Edit to choose which partner types are allowed to upload documents of this type.
    • Click Add.
    • Highlight the partner types, then click Add.
  • Click Save.
  • Repeat the above steps for the second document type and name it Signing Agent Assigned.

Resware to Resware Partner Mappings

  • Click Add, then click Select to search for the partner added in the prior step.
  • Enter the Username and Password as provided by The Closing Exchange.

Order Placement

  • Verify the Service Type is set to Order Placement.
  • Enter the URL as https://resware.cxchoice.com/OrderPlacementService.svc.
  • Enter the Client ID as provided by The Closing Exchange.
  • Enter the Office ID as 1.
  • Enter the Service Version as v4.
  • Check the box for Don’t Send Sales Price or SSN’s.
  • Click Add in the Transaction/Product Type Mapping area to add the transaction/products in Resware that will utilize this integration.

    • Select the Transaction Type from the dropdown options.
    • Select the Product Type from the dropdown options.
    • Enter the Remote Transaction ID as 1.
    • Enter the Remote Product ID as 1.
    • Click Save.
  • Highlight the entry that was just added.
  • Click Edit.
    • Update the Remote Transaction ID to match the actual ActionListTransactionTypeID and the Remote Product ID to match the actual ActionListProductTypeID shown on the panel.
    • Click Save.
  • Repeat the above steps for each transaction/product type that will have signings ordered through this integration.
  • Click Add in the Primary Contact Mapping area to add the internal users that will send the orders from Resware.

    • Select the Contact from the dropdown options.
    • Enter the Remote ID that was provided by The Closing Exchange (known as AgentID’s).
    • If only one internal user is to be mapped, check Default.
  • Repeat the above steps for each primary contact to add the internal users that will send orders and signings from Resware.

    • Click Save.

Signing

  • Select the Service Type as Signing from the dropdown options.
  • Enter the URL as https://resware.cxchoice.com/ReceiveSigningService.svc.
  • Click Add in the Signing Type Mapping area to add the signing types in Resware that will utilize this integration.

    • Enter the Signing Type from the dropdown options.
    • Enter the Remote ID as 1.
    • Click Save.
  • Highlight the entry that was just added.
  • Click Edit.
    • Update the Remote ID to match the SigningTypeID shown on the panel.
    • Click Save.
  • Repeat the above steps for each signing type used in this integration.
  • Click Save.

Notes and Documents

  • Select the Service Type as Note/Document.
  • Enter the URL as https://resware.cxchoice.com/ReceiveNoteService.svc.
  • Enter the Coordinator Type ID as 1.
  • Click Add in the Document Type Mapping area to add the document types in Resware that will be utilized in this integration to send documents to The Closing Exchange.
    • Enter the Document Type from the dropdown options.
    • Enter the Remote ID as 1.
    • Click Save.
  • Highlight the entry that was just added.
  • Click Edit.
    • Update the Remote ID to match the DocumentTypeID shown on the panel.
    • Click Save.
  • Repeat the above steps for each document type used in this integration.
  • Click Save.

Enable the XML Tab on Products

Admin/Action Lists/Product Types

  • Edit each product for which The Closing Exchange functionality is needed.
  • Click XML tab. If the Resware XML package already exists on the product, skip to the next product type.
    • Click Add and select Resware from the dropdown options.
    • Click OK.
  • Click Save.
  • Click Close.

Creating a Signing

File/Signings

The Closing Exchange partner must be on the file for this integration to work. The partner can be added manually while creating the signing or by adding the partner on the General panel of the file. The partner could also be auto-added if needed for a particular partner or workflow. The signing information must be entered prior to sending the signing XML manually or via an action to The Closing Exchange.

  • Click Add to create a signing and enter all the necessary information, including the notary partner.
    • If the notary partner is already on the file, then, in the Additional Parties area, click on the Notary dropdown to select from the options.
    • If the notary partner is not on the file, then click on Add in the Additional Parties area to add The Closing Exchange partner.

Sending an Order and Signing Manually

File/XML/Resware to Resware 

Order

  • Select Resware: Send Order: The Closing Exchange from the XML Message dropdown options.
  • If multiple contacts are mapped in the above step, then a pop-up will appear asking the user to select the contact.
  • Click Send.

Signing

File/XML/Resware to Resware

  • Select Resware: Send Signing: The Closing Exchange from the XML Message dropdown options.
  • Click Send.

Actions Set up to Send an Order, Signing, and Documents

The following steps will create actions to send the order, the signing information, and the closing documents to The Closing Exchange.

Order

Admin/Action Lists/Action Groups

  • Highlight the action group that should have the new action and click Edit Actions.
  • Click Add Action.
  • Click New Global Action.
    • Enter an Action Name like Send order to The Closing Exchange.
    • Click Save.
  • Select a Coordinator for the start and complete of the action.
  • Other options, such as Auto-start when Added to File, may be utilized depending on what is needed to make the flow of the action group work for each customer.
  • Click Save.
  • Highlight the action that was just added and click Edit Affects.
  • Click Add in the Complete Task Marked Done Affects section.
    • In 5 – Marking Done Sends XML, select the following:
    • XML: Resware: Send Order
    • Send To: Notary
    • Click Save.

Signing

Admin/Action Lists/Action Groups

  • Highlight the action group that should have the new action and click Edit Actions.
  • Click Add Action.
  • Click New Global Action.
    • Enter an Action Name like Send signing to The Closing Exchange.
    • Click Save.
  • Select a Coordinator for the start and complete of the action.
  • Other options, such as Auto-start when Added to File, may be utilized depending on what is needed to make the flow of the action group work for each customer.
  • Click Save.
  • Highlight the action that was just added and click Edit Affects.
  • Click Add in the Complete Task Marked Done Affects section.
    • In 5 – Marking Done Sends XML, select the following:
    • XML: Resware: Send Signing
    • Send To: Notary
    • Click Save.

Documents

Admin/Action Lists/Email Templates

  • Click New.
  • Enter a Template Name such as XML Documents to The Closing Exchange.
  • Select the Send Action from the dropdown menu. In this example, selecting Don’t ask, but display send panel allows the user to see the send panel and manage the document(s) prior to sending.
  • Enter an Email Subject. While not required on this panel, it is a time saver; this is a required field when the user sends the documents.
  • Click Attach by Document Type to send documents that are already on the file:
    • Click Select Doc Types to select the types.
    • Click Save.
  • Click Transmit Via XML.

NOTE: Consider the other options available in the Attachments area and apply if needed.

Admin/Action Lists/Action Groups

  • Highlight the action group that should have the new action and click Edit Actions.
  • Click Add Action.
  • Click New Global Action.
    • Enter an Action Name like Send documents to The Closing Exchange.
    • In the Completing Requires Documents area:
      • Click Add and select a document that would be required on the file before the action could be completed. This will ensure the action is not completed without this document existing.
      • Click Add.
    • In the Completing Email Templatearea:
      • Click Add and select the email template created in the step above.
      • Click Add.
    • Click Save.
  • Select a Coordinator for the start and complete of the action.
  • Other options, such as Auto-start when Added to File, may be utilized, depending on what is needed to make the flow of the action group work for each customer.
  • Click Save.

Set up an Action Trigger Notification when a Signing Agent is Assigned

The following set up will trigger an action to pop-up a message on a file, notifying the user when a signing agent has been assigned to the file. This will use the Add Document trigger in Resware.

Admin/Action Lists/Action Groups

  • Highlight the action group that should have the new action and click Edit Actions.
  • Click Add Action.
    • Click New Global Action.
      • Enter the Action Name as Signing agent assigned.
      • In the Starting Requires Documents area, click Add
        • Select the Signing agent assigned Document Type.
        • Click Add.
      • In the Display Popup area, check the If action is started but not completed checkbox.
        • Enter a message that the user will see when the file opens such as the example provided in the screenshot below.

NOTE: On File Open option will be selected as the default. If the pop-up should appear on selected tabs, then select that option and add the tabs as desired.

  • Click Save.
  • Check the Dynamic checkbox.
  • Select a Coordinator for the start and complete of the action.
  • Check the Auto-Start when Added to File checkbox.
  • Click Edit Triggers.
  • Click Add.
    • Select the External Trigger for Document Added from the dropdown menu.
    • Select the Document Type for Signing agent assigned from the dropdown menu.
    • In the 1-Marking Done Creates Action area:
      • Select the Group and Action created in the above step.
    • Click Save.
  • Click Save.

This example shows the pop-up notification when the Signing agent assigned document type is added to the file. The pop-up notification will occur each time the file is opened until a user actually completes the action.

XML Messages

File/XML/Resware to Resware

XML messages are shown when the order or the signing is sent, when documents are sent or received, or if there are any issues with processing requests.

File/Documents

Documents returned by the notary are uploaded to CXChoice, which is The Closing Exchange’s web portal. These documents are automatically sent to the Resware file and stored on the Documents panel with the DocumentTypeID that was provided to The Closing Exchange.

Users will be given a login and password where they can also view and manage their orders directly on The Closing Exchange’s full-service web portal (CXChoice).
