Begin here: Contact TitleIQ Enterprise by email at ess-helpdesk@firstam.com for further information about TitleIQ Enterprise or to register for services. Inform DataTrace that the account will be for a Resware integration. Once onboarded by DataTrace for TitleIQ Enterprise, account information will be provided including a username and password to use to access the TitleIQ Enterprise portal and for the XML client setup.

Next: Complete the following setup steps. Provide the DataTrace ESS team with the partner employee username and password, the CSV files for the transaction/products, the CSV files for liens and easements, and the DocumentTypeID if not using the default search package document type for return documents.

Enable office option

Admin> General Setup> Offices> Web Services

  • Highlight the office using this integration and click Edit.
  • Click to enable the Enable ResWare to ResWare Order Submission office option.

Add XML on products

The ResWare XML package must be added to each product that will use this integration.

Admin> Action Lists> Product Types> XML

  • Click Add and select the ResWare XML package.
  • Click OK.
  • Click Save, Close.

Create a TitleIQ partner with XML configuration

Admin> Partners

  • Click New.
  • Enter the Company Name as TitleIQ Enterprise.
  • Enter the partner’s information and set the Partner Type as Searcher.
  • Click XML Config and check both Enable XML Transmission of Notes and Documents and Don’t Also Send Notes and Documents via Email.
  • Click Edit Counties.
    • Select all states/counties where services are provided.
  • Click Save, Save.

Note: This partner will need to be added to each file that will use this integration service. It can be auto added by another partner, by the action list, or manually added by a user.

Create a partner employee

Admin> Partners

  • Highlight the partner edited above and click New in the partner employee area.
  • Enter the First Name as TitleIQ integration services.
  • Enter the Email Address as ess-helpdesk@firstam.com.
  • Set the employee as the Primary Contact.
  • Click Enabled in the Website Access area, which allows the web/API services to be utilized.
  • Click Override Username and enter a Username such as TitleIQ.
  • Click Generate to populate a Password. This will ensure company-specific password requirements are met. Write down this password to use in the validation step.
  • In the Office Access area, check Access for the offices where services will be provided. Optionally, check Default if an office will be the primary office.
  • Enable the following roles:
    • Add Documents
    • Add Notes
    • View Documents
    • View Notes
    • Web Services: Get Documents
    • Web Services: Get Notes
    • Web Services: Order Placement
  • Click Save.

Note: The email, username, and password for the employee will need to be provided to DataTrace ESS team to ensure the documents are returned to Resware.

Password validation

Website

After a password is set or reset for a partner employee, the employee is required to enter a new password the next time they access the website. To ensure this integration is set up correctly, log into the company’s Resware website with the username and password created in the previous step and create a new password. Provide this new password to DataTrace ESS team. Note: This password is also used as the password for the Resware to Resware partner mapping password.

Note: It may be beneficial to set the expiration date of this password on the partner employee setup for an extended period. Check with company-specific password security protocols to verify this will be acceptable or have a reminder in place to update this password as needed to ensure this integration’s service will not be interrupted.

Note: The Username and Password will need to be provided to the DataTrace ESS team, which allows the documents to be returned to Resware on the file’s Documents panel.

Transaction and product types

The DataTrace ESS team maps the transaction types and product types, allowing them to customize the services provided. Provide the DataTrace ESS team with CSV files containing the transaction types and product types that they will be able to import into their system and generate Remote IDs for the Resware to Resware partner mapping section in this article.

Admin> Action Lists> Transaction Types

  • Verify the ActionListTransactionTypeID column is visible in the grid.
    • If not, right-click in the column and click Show to select.
  • Right-click in the grid and click on View as Report to open the Report Viewer.
  • Click Export, then select Excel and Data dump to generate a spreadsheet. Save this file in a CSV format which will allow the DataTrace ESS team to import it into their system. This file will need to be provided to the DataTrace ESS team.

Admin> Action Lists> Product Types

  • Verify the ActionListProductTypeID column is visible in the grid.
    • If not, right-click in the column and click Show to select.
  • Right-click in the grid and click on View as Report to open the Report Viewer.
  • Click Export, then select Excel and Data dump to generate a spreadsheet. Save this file in a CSV format which will allow the DataTrace ESS team to import it into their system. This file will need to be provided to the DataTrace ESS team.

Document type settings

The Search Package document type is used by this integration. Verify that the settings on this document type are set to allow the searcher partner to upload the document. There is also a setting that will send a notification to a coordinator when a document of this type is uploaded.

Admin> Documents and Templates> Document Types

  • Select the Search Package document type and click Edit.
  • Check Allow upload for Partner Types and Notify on upload for Partner Types.
  • Both options will default to All. If only certain partner types should be able to upload documents of this type or should cause notifications to be sent to a coordinator, change the option to Selected, click Edit, and select the appropriate partner types.
  • Select a Notification Coordinator Type. When the search package is uploaded to the file, the specified coordinator type will be notified via an action if the office option Website: Send Note as Action is enabled, otherwise an email will be sent. If the coordinator is a team, the email is sent to all users on the team.
  • Click Save.

Note: Provide the DocumentTypeID for the search package document type to the DataTrace ESS team. This is typically ID 27. It can be found by going to Admin/Documents & Templates/Document Types, right-clicking in the grid, and selecting Show/DocumentTypeID.

Liens and easements

The DataTrace ESS team maps the easements, restrictions, liens, and requirements, allowing them to return data to the Search Data panel on files. Provide the DataTrace ESS team with the CSV files containing the lien types and easement types that they will be able to import into their system and generate remote IDs for the Resware to Resware partner mapping section in this article.

Admin> Search Data> Easement & Restriction Types

  • Verify the EasementTypeID column is visible in the grid.
    • If not, right-click in the column and click Show to select.
  • Right-click in the grid and click on View as Report to open the Report Viewer.
  • Click Export, then select Excel and Data dump to generate a spreadsheet. Save this file in a CSV format which will allow the DataTrace ESS team to import it into their system. This file will need to be provided to the DataTrace ESS team.

Admin> Search Data/Lien & Requirement Types

  • Verify the LienTypeID column is visible in the grid.
    • If not, right-click in the column and click Show to select.
  • Right-click in the grid and click on View as Report to open the Report Viewer.
  • Click Export, then select Excel and Data dump to generate a spreadsheet. Save this file in a CSV format which will allow the DataTrace ESS team to import it into their system. This file will need to be provided to the DataTrace ESS team.

Resware to Resware partner mapping

Admin> Partner-Related> ResWare to ResWare Partner Mappings

  • Click Add, then click Selectto search for the partner added in the prior step.
    • Enter the Username and Password provided by the DataTrace ESS team.
  • Click Add.
  • Click Select and search for the partner created above.
  • Set the Username as provided by the DataTrace ESS team.
  • Set the Password as provided by the DataTrace ESS team.
  • Set the Service Type as Order Placement.
  • Enter the URL as https://TitleIQ.datatracetitle.com/ReswareOrderPlacement/OrderPlacementService.svc.
  • Set the ClientID as provided by the DataTrace ESS team.
  • Set the OfficeID as provided by the DataTrace ESS team.
  • Set the Service Version as v4.
  • Click Add in the Transaction/Product Type Mapping area:
    • Select a Transaction Type.
    • Select a Product Type.
    • Enter the Remote Transaction ID as provided by the DataTrace ESS team.
    • Enter the Remote Product ID as provided by the DataTrace ESS team.
    • Click Save.
    • Repeat for each transaction/product that uses this integration.
  • Click Add in the Primary Contact Mapping area to any user as a contact:
    • Select a Contact.
    • Enter the Remote ID. In versions above 9.9 the InternalUserID will default as the RemoteID.
    • Check the Default box.
  • Click Save, Save.

TitleIQ web portal

After an order is sent, the examiner or other designated user may log into the TitleIQ Enterprise web portal to complete the search order process with credentials provided by the DataTrace ESS team.

  • The user can manage all active orders on the dashboard, and view all active orders, the orders assigned to the users, and the status of the orders.
  • Double-click on an order number to open an individual file.
  • Check the box to select order(s) to assign, change the due date, cancel the order, or place a hold.

When a file is opened, the screen is split showing the exam details on the left screen. and the recorded documents on the right screen.

  • Click on Schedule Details, Requirements, or Exceptions to jump to these sections to view and edit as needed. A  symbol displayed lets the user know information is required and or missing in this section.
  • Enter any information that was not automatically populated when the search was initiated and the documents were retrieved.
  • Click Complete to complete the order. This sends the search package back to Resware.

The Order Overview shows the timeline of the order.

Example on a file

XML> ResWare to ResWare

  • Select the XML Message as ResWare: Send Order – TitleIQ Enterprise.
  • Click Send.

File> Search Data Search data information is populated from TitleIQ. Note: Taxes can either be returned as a lien or in the Taxes section. This is a customer preference and should be discussed with the DataTrace ESS team during the initial consultation or anytime this setting needs to be changed.

TitleIQ inserts the hyperlinks into the language templates for the recorded documents associated to the search items in the file.
