User Guide: Search Data

Overview

This demonstrates how to navigate the Search Data panel in Resware.

Adding a Chain of Title Item

Search Data/Chain of Title

  • Click Add.

  • Select a Deed Type from the dropdown menu.
    • This is typically the type of the deed on the prior title work.
  • Enter the name of the Grantors and Grantees.

  • Add the book/page recording information from the prior deed.
  • Enter the Instrument number of the prior deed.
  • Enter the date the prior deed was Dated.
  • Enter the Recorded date of the prior deed.
  • Enter the Consideration amount on the prior deed.
  • The Notes field can be used to include additional information about the deed or a hyperlink to the document itself can be added by using the Insert Hyperlink button.
  • Click Save.

Adding Taxes

Search Data/Taxes

  • Click Add.

  • Select a Tax Type.
  • Enter the Calendar/Fiscal Year for the taxes.
  • Enter the Tax ID Number.
    • If the Tax ID number was entered as a parcel number when the property was entered on File/General, the value can be selected in the dropdown.

  • Select the Taxing Entity.
    • If the partner isn’t on the file, use Add Partner to add the partner or free-type the name of the taxing entity in the box.
    • If the taxing entity is a partner in the system, the contact information will populate based on the partner’s contact information.

  • Enter the Total Annual Tax amount.
  • Select a Payment Frequency.

  • Enter valuation information if it exists or if it’s required by procedure or regulation.

  • Enter the tax information.
    • Depending on the option selected, different fields will be required.
  • Click Save.

General Search Data Information

Search Data/General

  • Enter the Proposed Insured.
    • If a lender is added to the file, the lender’s proper name will be automatically used as the Proposed Insured.
    • This field can be manually entered, if desired.
  • Enter a Commitment Effective Date.
    • This date can be typed or entered by clicking the dropdown and selecting a date in the calendar.
  • Select an Interest type.
  • The Typed Date will populate automatically based on the date the commitment is generated.

  • Enter the Vesting information.
    • Hot keys can be utilized to enter the Proposed Insured and Vesting. To input the buyer, use Ctrl + Alt + B.  To enter the seller, use Ctrl ­+ Alt + S.

  • The Property Address will populate based on the primary property address on File/General.  If this is not correct, it can be changed on Search Data and it will not change the information on the File/General.
  • Enter the Legal information.
    • The degree symbol can be inserted into the Legal field by using the Ctrl + D hot key.

  • Add three easements or restrictions to the file by clicking Add in the Easements & Restrictions area.

  • Select an easement or restriction from the Type dropdown.
  • Enter the information required by the type selected.
    • Required fields are displayed in bold.
    • NOTE: The cursor will move between underscores (“________”) in the Language Template by using the Ctrl + N.
  • Click Save.
  • Repeat for the next two easements or restrictions.

  • Add three liens or requirements to the file by clicking Add in the Liens & Requirements area.

  • Select a lien or requirement from the Type dropdown.
  • Enter the information required by the type selected.
    • Required fields are displayed in bold.
    • NOTE: The cursor will move between underscores (“_________”) in the Language Template by using the Ctrl + N.
  • Click Save.
  • Repeat for the next two liens or requirements.

  • Generate the commitment by clicking (Re)generate Commitment. 

  • Resware will open the commitment document with all merge fields already populated.
    • Review the document for accuracy.

  • Save the commitment to the file by closing the document and choosing to save the document to the server.
  • Confirm the commitment was added to File/Documents.

  • Send the commitment via email by highlighting the commitment on File/Documents and clicking Send.
    • It’s also possible to have an email composed with the commitment attached and recipients already selected on the start or complete of an action.

  • Enter a Subject.
  • Enter the body of the email in the Note field.
  • Select one or more recipients.
    • Emails can be sent to partners, internal users, teams, or non-Resware email addresses.
    • For training purposes, do not send emails to partners.
  • Click Send.
