Zipwhip

Overview

Zipwhip enables two-way texting on any land-line, toll-free, or VoIP phone number. Users can send text messages directly out of Resware and can assign incoming messages to files. Zipwhip allows escrow officers and closers to more effectively communicate with all parties involved in the process using a method they prefer while assuring all text communication is documented alongside emails in Resware.

Enable Office Option

Admin/General Setup/Offices/Miscellaneous

The following office option is required for the service to run correctly:

  • Texting: Use Zipwhip – when enabled and the XML client is enabled, texting can be done through Resware.

Set up the XML Client Information

Admin/General Setup/XML Clients

  • Highlight Zipwhip and click Edit.
  • Check Enabled to enable the integration.
  • Set the Web Service URL to https://api.zipwhip.com/.
  • Click Add to enter the credentials.
    • Enter a Display Name to easily recognize each different account.
    • Enter the Username provided by Zipwhip.
    • Enter the Password provided by Zipwhip.
    • Click Save.
  • Repeat for each account that is set up with Zipwhip.
  • The Incoming URL setting displays the URL that Zipwhip should use, based on Resware’s configuration.

NOTE: The Reset All Webhooks option only needs to be used if the Incoming URL is changed.

Offices

The Text Number field is visible when the office option Use Zipwhip is enabled. This dropdown menu contains accounts that are enabled in the Zipwhip XML client.

  • Select the account from the dropdown menu. This account will be used when a text via an email template is automatically sent from a file in this office.

Internal Users

Admin/Internal Users/External Service Accounts

Each internal user will need to be associated with at least one XML client in order to text from Resware. Internal user accounts are available when a user manually sends a text message; they are not used when a text message is sent using an email template (the office number is used).

  • Select Zipwhip from the XML Clients dropdown menu.
  • Click Add and select the account(s) to associate with the internal user.
  • Select Is Default for one account if the user is associated with more than one Zipwhip account. If a default account isn’t set, the first account displayed will automatically be selected as the default account.

Email Templates

When a text is sent via an email template, the office text number will be used to send the text. This field can contain a max size of 160 characters. Attachments and reports will not be added to the text. An email template can be added to any action in the workflow.

Admin/Action Lists/Email Templates

  • Click New and enter a Template Name.
  • Select a Send Action option from the dropdown menu.
    • No email/text sent – will send a text message only.
    • Ask user if they want to send – opens the email panel, then asks if they want to send.
    • Automatically send (no user interaction) – will send without the user seeing the email panel.
  • NOTE: An action initiated by the website, web service (XML), or server (not by a user) will default to Automatically send (no user interaction).
    • Ask, then display send panel – ask the user if they want to send an email/text, then display the email panel. Don’t ask, but display send panel – displays email panel and sends email/text.
  • Select a Send Method from the dropdown menu.
    • Text Only – will send a text message only. In the Text Message field, enter up to 160 characters. Email and Text – will send both and email and a text.
    • Enter an Email Subject. Enter a message in the Email Body. In the Text Message, enter up to 160 characters.
  • Click Select in the Send To area to select where to send the message.
    • Click Select for each partner type and/or the buyer/seller type who should receive the message(s). Click Save.
  • Click Save.

Create a Text – Notes

Text messages can be sent directly from the Notes panel. The different ways are discussed below.

File/Notes

When the office option Notes: Force Note Association is disabled, the New button is visible on the Notes panel and users are able to create notes.

  • Click New.
  • Enter a Subject. This will be shown in Resware but will not appear in the text message.
  • Enter up to 160 characters in the Text Message field. Note that there is a character counter in the lower right corner.
  • Click Save, Send.

The new text message will be displayed on the Notes panel. The text message will be displayed in the Text Message field. It will also be shown in the Send Log.

When the office option Notes: Force Note Association is enabled, the New button is not available on the Notes panel. Users are able to send or reply to existing notes on the Notes panel in a file or attach notes from the Actions panel (see next section).

  • Highlight an existing note.
  • Click Send or Reply.
  • Enter up to 160 characters in the Text Message field.

Note: there is a character counter in the lower right corner.

  • In the Send To area, select the partner who should receive the text message.
    • Check the box in the Text column.
  • Click Send.

To view a text message sent from an existing note, view the note and see it in the Send Log.

To view a text message sent from an existing note, edit the note and view it in the Send Log.

Create a Text – Actions

Notes with text messages can also be sent directly from actions on the Actions panel.

File/Actions

  • Highlight an action to which a text message should be attached, then click Attach Note.
  • Enter a Subject. This will be shown in Resware but will not appear in the text message.
  • Enter up to 160 characters in the Text Message field.

NOTE: there is a character counter in the lower right corner.

  • Click Save, Send.

The Send Information panel will open and allow the user to select the partner who should receive the text message.

  • In the Send To area, select the partner who should receive the text message.
    • Check the Text box.
  • Click Send.

To view a text message sent from an action, double-click on the associated note and see it in the Send Log.

Text Message Panel

A text message icon will appear when the office option, Texting: Use Zipwhip is enabled and the XML client is enabled. Clicking this icon will open the Text Messaging panel. From here, users can view, reply to, and assign text messages to files.

  • Click Allow Notifications to receive notifications when new text messages are received. When new messages are received, a red exclamation point is added to the Text Messaging icon and, if the Text Messaging panel is open, the panel and the taskbar icon will flash. This configuration is saved per user.
  • The default Zipwhip account assigned to the user will be displayed. If the user has access to additional accounts, the user will be able to select them using the dropdown menu.
  • The filter field allows the user to filter conversations by name or phone numbers.
  • The Select dropdown will filter the text messages within a conversation.
    • Non-assigned texts from visible texts down: Selects all visible text messages starting with the oldest text to the current message and only selects messages that have not yet been assigned to a file.  
    • All non-assigned texts: Selects all text messages in a conversation that have not yet been assigned to a file.  
    • All texts from visible texts down: Selects all visible text messages starting with the oldest text to the current message regardless if a text has already been assigned to a file.
    • All: Selects all text messages, regardless if a text has already been assigned to a file.
    • Clear selection: Clears any selected messages.
  • Apply to File is enabled when at least one text message is selected. This will bring up the File Search panel and the selected message(s) will be added to the file that is selected as a note. Any images, included in the selected message, will also be attached to the file as documents and associated to the note.

NOTE: If multiple text messages are selected at the same time to apply to a file, one note that includes all the text messages selected will be created on the file. This is beneficial because it shows a full conversation of incoming and outgoing messages.

  • Phone numbers or names will be displayed on the left side of the Text Messaging panel as text messages are sent and received. Clicking on a number will display the actual text messages in the main body of the panel; incoming text messages are on the left side and the outgoing messages are on the right side.
  • The Reply Message field allows a user to enter a message for the currently selected conversation. This field is limited to 160 characters.
  • Click Submit to send.

NOTE: Go to View/Options and click Open Text Messaging On Startup to auto-start this panel when logging into Resware.

Text Messages on a File

New text messages sent directly from the file will display as separate notes. All text messages (incoming and outgoing) that are applied to the file will be displayed in the file with Messages from Zipwhip in the Subject column.
